Data Protection

Why data protection?

On May 25, 2018, the General Data Protection Regulation (GDPR) became binding and applicable in all 28 member states of the European Union. The GDPR is a regulation aimed at strengthening and harmonizing data protection for all individuals within the EU. It was enacted by the European Parliament, the Council of the European Union, and the European Commission. The primary goal of the GDPR is to give citizens and residents control over their personal data and to simplify the regulatory environment for international businesses by unifying the regulation within the EU. It primarily aims at creating a ‘painful awareness’. It requires ‘an awareness that everything digital is worth protecting.’ In the following, the handling of your personal data (pbD) during your visit to the website of the Austrian Youth Hostel Association (ÖJHV) Regional Office Carinthia will be explained in detail. You will receive information about the type, scope, and purpose of the collection and use of pbD by the website operator ÖJHV – Regional Office Carinthia. The website operator takes your data protection very seriously and treats your pbD confidentially and in accordance with legal regulations. Please note that data transmission over the internet may be subject to security vulnerabilities. Complete protection against access by third parties is not feasible. First and foremost, we adhere to the principle of ‘Privacy by Design and Default’: the application is automatically designed to take into account the privacy of users/guests from a technical perspective. The online platform www.hiyou.at Regional Office Carinthia is one of several platforms of the Austrian Youth Hostel Association (ÖJHV), with each regional office being responsible for the compliant handling of your data. Other regional offices typically have their own privacy policies. Please refer to the respective websites for information on the privacy policy.

WHAT IS A COOKIE? Cookies are small amounts of data sent by the web server to your browser. They are stored on your hard drive. Our cookies do not contain any personally identifiable information, but only a randomly assigned identifier that allows us to recognize your computer. We use cookies solely to facilitate your use of our online services, especially in booking and the ‘become a member’ function.

1.)    USER GROUPS – The information and services offered by the ÖJHV website are only available to internet users who are not ÖJHV members to a limited extent, as the ÖJHV website is largely financed by membership contributions. In order to access the full range of information and services – possibly with special conditions for ÖJHV members – you must have a valid ÖJHV membership.

2.)    COLLECTION OF PERSONAL DATA FROM OUR WEBSITE USERS – In accordance with the principle of data avoidance and data minimization, we only collect personal data during a visit to the ÖJHV website if it is necessary for the purpose you desire and/or if you voluntarily provide it to us. Therefore, we collect the following information: a)      For each initial phone call, we collect first and last names, as well as the membership number and/or reservation confirmation number. b)      For each email sent to us, we collect at least your name, your sender, email address, and your message. Additionally, as voluntary information, we may collect further contact details (address, phone number, meal preferences, etc.), if you wish us to respond or contact you. Please note that this communication method, due to the currently lacking encryption capabilities, is not suitable for sending confidential messages. c)       Contract initiation and conclusion or request for information. We collect the full name, address, as well as the requested information, services, or products, and other specified data necessary for the upcoming contract conclusion and future service provision (e.g., date of birth for registration purposes), and optionally helpful (marital status, communication details), and for members, the membership number. d)      If you need to update your personal data stored with us, please provide us with your membership number, first and last name, your old and new address, and, if applicable, your new bank details or any other personal data you wish to change.

3.)    PROCESSING OF PERSONAL DATA OF OUR INTERNET USERS
The data collected from you (booking requests, membership inquiries, event inquiries, guest records, etc.) are transmitted in encrypted form (SSL – Secure Socket Layer) via the public data network to the relevant IT system and stored for the purpose of contract administration, order processing, and ultimately for billing. If contractual relationships with ÖJHV Carinthia result from business transactions initiated by you, the respective responsible entity will store your data within the framework of the contract relationship requested or already existing by you. After the termination of contractual relationships, your personal data will be stored for any resulting post-contractual claims, warranty periods, and reporting periods (e.g., debt collection procedures) or to the extent required by law. In some cases, ÖJHV Carinthia websites may link to third-party websites, but such redirection to external websites will be announced to you beforehand if not already apparent from the link (URL). Use of Quick Response Codes (‘QR Codes’): As of April 1, 2017, every invoice must contain a ‘QR Code’. These codes make invoices tamper-proof.

4.)    USE OF PERSONAL DATA OF OUR WEBSITE USERS The data collected and processed during an internet session by members or other visitors are used by ÖJHV Carinthia exclusively for legally permissible purposes. Primarily, this usage is for your care within existing contractual and/or trust relationships, for the initiation, execution, and settlement of new, existing, or terminated contracts, and for the provision of contractual services by ÖJHV Carinthia or its contractual partners, who act as agents for ÖJHV Carinthia. To make our internet offerings more attractive and user-friendly for our members, we use plugins from social networks such as Facebook and Trivago. When you access ÖJHV’s website pages with such plugins, your browser establishes a direct connection to these servers. This is primarily to display the content of the plugin to you. In this case, the social network receives your IP address and other device-related information. In practice, this IP address cannot be readily associated with you by name. The social network places a cookie on your computer, and you can decide in your browser settings whether to allow cookies or not (see also the section ‘Storage, deletion, and use of cookies’). This means, for example in the case of Facebook: By integrating the plugins, Facebook receives information that a user with a specific IP address is currently visiting a website of ÖJHV Carinthia. If you are logged into Facebook at the same time, the visit to a website can be associated with your Facebook account. If you interact with the plugins, such as clicking the ‘Like’ button or leaving a comment, the corresponding information is directly transmitted from your browser to Facebook and stored there. This way, your Facebook friends are also displayed in this plugin. You can read and change the purpose and scope of data collection, further processing and use of data by Facebook, as well as your rights and privacy settings in the privacy policy of Facebook (or other social networks). Data is only transferred to the respective social network once you have granted permission, as described below.

5.)    STORAGE, DELETION, and USE of COOKIES COOKIES are small text files stored on the internet user’s hard drive. They control the internet connection during your visit to the ÖJHV Carinthia website. At the same time, we receive information through these cookies that allow us to optimize our website according to your needs. ÖJHV Carinthia uses so-called “session cookies” and “persistent cookies”.
  • Session Cookies – These are cookies that remain on your computer only until you close your web browser. After that, they are automatically deleted.
  • Persistent Cookies – These are cookies that are provided with a validity period and are stored on your hard drive for a corresponding length of time. The duration can vary (from a few hours to unlimited). The cookies are only deleted after their expiration or by user action. When accessing the ÖJHV Carinthia website, the following cookies are set:
  • Both session cookies and persistent cookies are set by us and by third parties for users. These cookies are depersonalized. They are used, for example, to tailor products and services to you. The persistent cookies are deleted after 60 days.
Of course, you can also visit the ÖJHV Carinthia website without cookies. 6.)    FURTHER INFORMATION As an affected individual, you have the following rights regarding the responsible authority of ÖJHV Carinthia:
